Participant Agreement & Terms of Service
This agreement is between Thriving Futures 2100 CIC ("the Provider") and the Parent/Guardian ("the Client") of the participating minor ("the Participant"). By completing the registration and paying the deposit, you agree to the following:
1. Booking & The 14-Day "Cooling-Off" Period
In accordance with UK Consumer Contracts Regulations, you have a 14-day cooling-off period from the date of your initial deposit. During these 14 days, you may cancel for a full refund. After 14 days, the £200 deposit becomes non-refundable to cover administrative costs and logistics.
2. Payment Schedule
Deposit: £200 due at registration.
Final Balance: The remaining balance is due no later than 60 days before the program start date.
Late Payments: Failure to pay the balance by the due date may result in the forfeiture of your spot and deposit.
3. Cancellation & Refunds
60+ days before start: Full refund of the balance (minus the £200 deposit).
30–59 days before start: 50% refund of the balance.
Less than 30 days before start: No refunds can be issued.
Note: We strongly recommend all families purchase independent travel insurance to cover unforeseen cancellations.
4. Health, Safety & Resilience
Physical Readiness: The Participant must be capable of cycling 20 km per day and participating in outdoor camping.
Equipment: It is the Client’s responsibility to provide a road-worthy bicycle, helmet, and the "Sleep Kit" as detailed in the Welcome Pack.
Risk: While we maintain a 1:5 mentor ratio and strict safety protocols, the Client acknowledges the inherent risks of outdoor expedition travel.
5. The Code of Conduct
To maintain a high-trust, prosocial environment, all Participants must adhere to our community guidelines. We reserve the right to remove any Participant whose behavior consistently undermines the safety or wellbeing of the group. In the event of dismissal, the Parent/Guardian is responsible for all return travel costs, and no refund will be provided.
6. Safeguarding & Data (GDPR)
As a UK CIC, we operate under strict safeguarding policies. All lead mentors are DBS checked. Your data is used solely for the administration of this program and will never be shared with third parties.
7. Force Majeure
If the program is cancelled by the Provider due to extreme weather or safety concerns beyond our control, we will offer a credit toward a future residency or a pro-rata refund based on recoverable costs.
